You can rehire a "separated employee" who has exited your company. The employee can be rehired with a different designation, salary structure, etc., but with the same employee code.
Before Rehire, you should ensure the employee’s separation has been completed.
To check the settlement status, follow the below steps,
Go to Team>>Directory>>Employee Separation
Enter the employee code.
Click the drop-down under Edit.
It should reflect “View Report” which implies the employee’s separation is completed, the final settlement is processed, and “Mark as settled."
Re Hire Process
On the Home page, click “Team.”
Scroll down to the “Employees” section.
Click “Rehire”.
If you want to rehire a selected employee, check the “Employee wise”.
Enter the Employee Code/Name.
Click “Rehire”.
You will be directed to the “Create Employee” screen.
The personal details will remain the same and will be auto-populated.
The same can be updated/modified.
Enter the Date of Joining (DOJ)
The data for PF, ESI, Leave Details, and Other Info, will be automatically populated with the previous information.
The Salary Details will have to be entered manually.
And your employee details are added successfully.
In the Employee Master enter the Employee Code/Name
You can view two records of the employee in the Employee Master List- One Active and one Resigned (the Last working date will be mentioned next to the Employee name)
Multiple Re Hires
If you want to rehire multiple employees, enter the Employee Code each separated by a comma in the “Employee Code” box.
Click “Download Template here”
Update the file and save it to the local drive.
Click “Import File”.
Once the file is uploaded
Click “Re-Hire”.
Please Note:
If you still want to make changes to the exit/separated record of that employee or reprocess the final settlement after rehiring the employee, you will have to contact the Support Center.
